Bidding Event Proposal

Bidding Event Proposal is an activity to design an event plan that is outlined in the form of a proposal. This competition tests participants' skills in designing an activity in the form of a seminar where this activity is a meeting to discuss a problem together. Participants designed an international seminar with the theme "Create a Millennial Lifestyle by Caring for The Environment" this theme aims to invite millennials to care more about the surrounding environment in organizing event design, not only exploring the activities being held, but being able to maintain and improve environmental sustainability. In designing these activities, participants must pay attention to 3 (three) sustainable pillars, which consist of environmental, social and cultural, and economic aspects.

General Term

1. Participants are students from National and International universities;

2. Participants are students of the Tourism Department with D1 to S1 levels who are still active and must attach a Student Identity Card / Student Certificate;

3. Participants are prohibited from including, wearing, and displaying the identity of the institution of origin such as logos, flags, uniforms, alma mater suits, initials of the institution in any form in the work and during the competition; 

4. Each team must register at the link provided on the official KPI website (kpi.polban.ac.id), no later than the date;

• Early Bird (March 05th - 11th,, 2024)

• Batch 1 (March 15th - 22nd, 2024)

• Batch 2 (March 28th  - April 30th,, 2024) 

5. Each university is allowed to send more than one representative team (maximum 3 representative teams); 

6. Participant team representatives are required to join the whatsapp group;

7. Participants who pass the desk review stage are required to attend an online technical meeting on May 10th, 2024 through the platform provided by the committee;

8. Participants are required to attend the opening and closing offline which takes place at the main venue Pendopo Tonny Soewandito Politeknik Negeri Bandung, if the participant is unable to attend, they can follow online via KPI 14 YouTube streaming;

9. Participants are only allowed to wear and display the identity of the institution of origin at the time of closing or awarding;

10. Participants must be present a maximum of 30 minutes before the event starts;

11. The judges decision is absolute and inviolable.

Special Term

1. The competition is a group category with 1 (one) group consisting of 3 (three) participants from the same institution;

2. The group leader is responsible for everything regarding his team's participation in this competition;

3. Bidding Event Proposal is the original work of the participants that has never been published before in any media, has never been included in a similar competition which is stated in the originality statement sheet of the work signed on a 10,000 stamp;

4. Activities are made according to the theme and can implement the concept of sustainability with a focus on the theme of going green for a better environment (both in the choice of venue, use of technology, etc.);

5. Participants of seminar activities can be attended by at least 3 ASEAN countries;

6. Participants make a complete proposal along with a promotional video with a maximum duration of 3 minutes in landscape form (16:9 ratio);

7. Each work collected must include the KPI 14 logo in the upper right corner (especially for videos included for the duration of the video);

8. Works that have been submitted for the review process will not be disseminated;

9. The assessment will be divided into 2 stages, desk review (preliminary) and live review (final);

10. Each participant is required to wear blue smart casual clothing during the competition;

11. The work created is the result of one's own work.

Technicalities of Desk Review Competition

1. The competition is held in 2 rounds, the Preliminary Round will be announced on May 10th, 2024 and the Final Round will take place on May 15th,2024;

2. The proposal contains activities that will be carried out with a projected financing

given for the creation of an event of Rp. 100,000,000, but participants can add the required financing by finding other alternative sources;

3. The technical writing of the proposal follows the format provided by the KPI 14 committee for the format link (https://bit.ly/FORMATBEP_KPI);

4. Proposals are allowed to use good and correct Indonesian or English without affecting the assessment;

5. The collection of works is uploaded in the form of a google drive folder link containing the event proposal file in pdf form and promotional video;

6. The collection of works is uploaded to the google classroom that has been prepared with the folder name format: Team Name (example: Ethereal Event Organizer). As well as each file namely: Title of Work_File Name (example: Eco Green the Sustainable in Tourism now_Proposal);

7. The deadline for submitting files is adjusted to the competition category, namely:

• March 18th, 2024 (Early Bird)

• April 03rd, 2024 (Batch 1)

• April 30th, 2024 (Batch 2)

8. Participants will be considered FAILED if they are late in submitting the proposal according to the specified deadline;

9. Proposal documents are assessed by double blind review method;

Technicalities of Live Review Competition

1. Participants who qualify for the final round are required to submit presentation documents H-1 before the final judging;

2. Participants are in the presentation room a maximum of 30 minutes before the competition starts;

3. Presentation is carried out in accordance with the predetermined sequence number;

4. At the live review stage, the maximum duration is 30 minutes / group (10 minutes of presentation and 20 minutes of question and answer session);

5. The committee will give a signal 1 minute before the presentation time runs out and the committee will stop the ongoing presentation exactly at the 10th minute;

6. Especially for participants from outside Indonesia who are not able to attend in person during the final session, the live review will be held online using the platform provided by the committee (final stage participants from Indonesian universities are required to attend offline);

7. During the presentation, participants are allowed to use Indonesian or English properly;

8. The committee will be the moderator and time keeper during the presentation;

9. The decision of the jury is absolute and inviolable.

Violations

1. Participants who take and plagiarize / copy other people's work that has been made will be disqualified;

2. Registered participants may not be replaced for any reason; 

3. Participants who are late in submitting their work without a logical explanation will be disqualified;

4. It is prohibited to disturb other participants during the competition;

5. Videos and presentation media that violate racial and pornographic elements will be disqualified before, during, and after the judging takes place;

6. Participants who include, use, display the identity of the institution of origin such as logos, flags, uniforms, alma mater suits, initials of the institution in any form, disrupt the course of the competition, cheat, disrupt the security and safety of other participants, will be disqualified. Participants who are subject to sanctions will be disqualified and will not receive a refund;

7. If the participant is absent or late without confirmation to the committee on the day of implementation, the participant is considered to have resigned.
